How to use it
Monthly workflow (most common):
- At the end of each month, count the lessons you taught each student
- Fill in the template โ one invoice per student
- Send by email or text (Google Docs link works fine)
- Note: track payments as they arrive โ don't wait until next month
Per-session billing (alternative): Some tutors bill after every lesson. Simpler for parents, more invoices for you. Use the same template with just one row in the lessons section.
What invoice number to use: Start at INV-001 and increment. It doesn't matter what system you use โ just be consistent. The number helps you find past invoices if a parent asks.
Adding Venmo and Zelle: what to write
The payment section is where most tutor invoice templates fall short โ they say "bank transfer" but don't include the actual info parents need.
For Venmo: include your exact @username (find it in the Venmo app under your profile)
For Zelle: parents can send to either your phone number or email โ include both
For PayPal: your PayPal.me link or email address

This one line saves multiple follow-up messages every month.
The 3 fields tutors forget
1. Invoice number. Sounds formal, but it's just a sequential number. Useful when a parent emails "I didn't get your invoice" โ you can say "that's INV-012, sent October 31."
2. Due date. Without one, parents assume "whenever." Set it: 7 days is standard. Some tutors do "due at next lesson" โ that works too.
3. Previous balance. If a parent has an unpaid balance from last month, add a line: Previous balance: $XX. This keeps both of you honest without an awkward conversation.
When to upgrade beyond a template
The template above works well for up to about 5 students. As you grow, the time cost adds up:

- Plus tracking who paid, who didn't, and for which lessons
- Plus follow-ups when someone's 3 weeks late

Quick answers
Can I use this template for online tutoring? Yes. Same template works for online and in-person โ just remove the address field if you don't need it.
Do I need to include my address? Not required for informal tutoring. Your email and phone are enough for parents to reach you.
What if a parent pays part of the invoice? Note it in your records: "Received $100 of $210, Aug 20." On next month's invoice, add a "Previous balance: $110" line at the top.
Should I send invoices via email or text? Either works. Email creates a better paper trail. A Google Doc link is easy to send via text and parents can print it if needed.
